Enzyme’s Document Control Module is a repository for all the controlled data for your company’s processes and product(s).
Here is an overview of the Document Control module.
Document Types that can be uploaded
The Document Control module supports many document types.
Enzyme will automatically process documents (i.e. add headers and footers to the PDF's) of the following native document types. It will also generate a PDF of the updated file upon each new revision or approval.
- Word (.doc, .docx)
- Excel (.xls, .xlsx)
- PowerPoint (.ppt, .pptx)
- PDF (.pdf)
In addition Enzyme accepts the following but is not limited to:
- Images (.gif, .png, .jpg, psd)
- Videos (.mp4)
- Zip (.zip)
Note: Enzyme will keep these document files as is once uploaded.
If your company uses Google docs, you can link Google Drive to your account and then import files directly from your Google Drive account.
Automatic Header and Footers
Enzyme will automatically update header and footer information in native Word, Excel, PDF and Powerpoint documents and generate a PDF of the updated file upon each new draft version upload and approval.
These native files and generated PDFs can be accessed from the Version History tab. Upon approval, the PDF of the released (effective) version of the document will also be accessible via the Effective Version tab.
The header will include the document ID and revision, its release status, and its effective date.
The footer will include the company name, document type description, document title, ID and revision. Documents with long names will show truncated titles in the headers and footers.
For other document types users will have to add the header and footer information into the native file prior to uploading it to Enzyme.
Accessing Effective Documents
To view the effective version (.pdf) of the document, click on the Download Effective button or the Version Number under Effective Version tab.
Note: Upon approval, the Enzyme-generated Effective Version PDF (where applicable) is password protected to prevent unauthorized editing of the controlled PDF document. Quality Owners should contact firstname.lastname@example.org for additional information if necessary.
To initiate edits for a new draft version of the document, download the latest Word version from the Version History tab. Save edits, and upload the new Word version using the New Revision button. Also, in-work drafts can be easily downloaded from the Draft Version and Version History tabs.
When uploading a revision to an effective document, Enzyme will generate redlines between the two documents. These redlines are viewable in the Version History tab up until the change(s) is approved on Change Request. After approval, the redlines will be viewable in the Redlines tab.
Additionally, some customers prefer to upload their redlines (including any comments) in the Attachments section when uploading a new revised document.
Once a Word document is approved in Enzyme (and has been processed), the Preview tab will display a preview of the released and effective document.
